A case is a Group of one or more checks ordered for an applicant. Learn how to manage your cases, review information, and track your decisions from CertnCentric below.

View your cases
Cases are sorted based on the Group which ordered them. Select the Group name from the left navigation menu in CertnCentric to view a list of the Group’s cases.
Note: For more information on Groups, see the Groups Certn Help article.
Cases are sorted into Active, Review, and Done on the Group page.
- Active: Includes all cases except those which have had a decision selected, been cancelled, expired, been declined by the applicant, or which could not be delivered to the applicant’s email.
- Review: Includes complete cases without a decision selected and who’s case score is either Complete: Review or Complete: Clear.
- Done: Includes all completed cases with a decision selected and cases which have expired or been cancelled.
Overview information
There are 6 columns of information for each case when viewing your case list:
- Applicant: The applicant’s email, and name if the applicant has submitted it..
- Case status: The current status of the case. This filter is not available in the review tab. For a complete list of statuses, see the Case and check status and scores Certn Help article.
- Tags: Any tags applied to the case at the time it was ordered. See the Case tags Certn Help article for more information on tags and how to use them.
- Case ID: The unique identifier for the case used to track it in CertnCentric.
- Order date: The date the order for the case was placed. You can select the column name to sort cases by order date in descending or ascending order.
- Owner: The person who ordered the case, also known as the Requestor.
Filter and find cases
Use the filter dropdown options above the case list to filter the displayed cases by: status, order timeframe, check type, requestor, or tags.
You can create and apply tags to cases when they are ordered, for more information see the Case tags Certn Help article.
Use the search bar to search your cases by: applicant email, owner/requestor, or case ID.
Case details
Select a case to open its case details page. View the group which ordered the case, the case ID, status or score, and the requestor for the case (the owner) along with the Report and Activity tabs from the case details page.
Copy the link to the case details page for a case by selecting the Copy link button at the top of the page.
Case report
The report tab contains applicant and case details. Some of these fields may be empty depending on the case’s progress and what information has been provided.
You can also view the check’s ordered for that Case ID and their current Status or Score. For a complete list of statuses and scores, see the Case and check status and scores Certn Help article.
When a check’s results are available, you can expand a check’s section to view additional details by selecting the arrow to the right of the check’s name.
Cases that are Complete can also be downloaded as PDFs using the Download PDF button in the case report.
Note: Only completed cases or cases that are in dispute will be available for a PDF download.
Case decision
Once a case has a case score of either or Complete: Clear or Complete: Review, any user with access to the case will have the option to select a decision for the case on the case details page.
Use the decision button near the top of the case details page to select 1 of 3 decisions.
- None: The default state of a case’s decision. Indicates no decision has been made regarding the case.
- Meets criteria: Indicates the results returned by the checks included in the case meet the criteria set by you and your organization.
- Criteria not met: Indicates the results returned by the checks included do not meet the criteria set by you and your organization.
Once a decision, other than Decision: None, is selected the case is moved to the done tab of the associated group’s page and can be accessed as needed in the future. When someone other than the case's requester selects a decision, the requestor is notified a decision has been made on the case.
Case decisions can be changed at any time.
Case activity
The activity tab contains a complete history of activity for the case and its included checks. These are sorted into 5 columns:
- Date: The date of the activity displayed in your local time zone.
- Time: The time of the activity displayed in your local time zone.
- Activity Type: Whether the activity is related to the case, notifications, tasks, or a specific check.
- Activity Description: A description of the activity.
- By: The user who performed the activity.
By default the activity only displays case activity. Expand it to include all available information by selecting the Clear filters option next to the dropdown filters.
