Case tags and groups
Case tags and groups provide flexibility for you to manage your business’ needs in the way that best suits you.
When upgrading to CertnCentric from the legacy platform, consider the following:
- How can you use case tags and groups to import existing organizational structures?
- How can you use the flexibility of case tags and groups to create new ways of organization better suited to the needs of your business?
See below for a summary of the strengths of both case tags and groups.
Case tags summary
Apply case tags to cases and use them to filter your searches in CertnCentric. Tags are an optional step in ordering and managing cases. Useful for:
- Organizing cases based on business-relevant data.
- Quickly filtering to a specific set of related cases.
- Attaching multiple pieces of information to cases.
For more detailed information, see the Case tags Certn Help article.
Groups summary
Organize users in CertnCentric based on billing and case management needs with groups. Every CertnCentric account must have at least one group but there is no limit to the total number of groups per account. Useful for:
- Organizing the number of invoices generated by Certn and to whom those invoices are sent by associating them with different billing profiles.
- Limiting access to sets of cases in combination with user permissions.
For more detailed information, see the Groups Certn Help article.
Basic import option
When upgrading your account from Certn’s legacy platform to CertnCentric, a straightforward option for converting buildings and listings to case tags and groups is to directly convert buildings into groups and listings into tags.
For example, you manage 2 buildings: Building A, and Building B. Building A has 3 listings: Unit 104, Unit 508, and Unit 603. Building B has 2 listings: Unit 205, and Unit 1101.
Using the basic import option you would create 2 groups in CertnCentric: Building A and Building B. Each of these groups would have a set of users assigned to them who, based on their user permissions, could issue cases for those groups. See the User permissions Certn Help article for more details on user permissions.
Additionally each group could have its own billing profile and invoice, or they could both have the same billing profile and one combined invoice.
Your case tags for this setup would be: Unit 104, Unit 508, Unit 603, Unit 205, and Unit 1101. When ordering cases, users would assign those tags based on the listing to which the case is related. The tags could then be used to filter cases in CertnCentric to easily find all the cases related to one or more listings.
