Virtual Inspections are required for clients wishing to issue Credit Report checks through Certn.
How do virtual inspections work?
Virtual inspections are self-completed and initiated through a link that is sent via email and/or text message. The link will prompt you to download the virtual inspection app on your mobile phone and prompt you to take photos and videos based on requirements.
Virtual inspections assess the following aspects:
-
Business Address Verification: The inspection ensures that the provided business
address matches the physical location being inspected. -
Confidential Data Storage: The inspection will evaluate your methods for securely
storing confidential data. This includes assessing whether you have appropriate
measures in place, such as locked filing cabinets or a paperless system, to safeguard
sensitive information. -
Document Destruction Procedures: The inspection also reviews your processes
for securely destroying documents. This may involve assessing the presence of a
shredder, document destruction service, or proper utilization of cloud storage for
electronic files. -
Shared Office Space (if applicable): If your office space is shared with another
business, Certn will provide you with a shared space attestation document. You will
be required to fill out this document and return it to us as part of the inspection
process if you share space with another business. -
Overall Physical Space Security: The inspection includes an assessment of the
overall security of your physical space. If your business is located within a residence,
it is essential to have a separate office area that is secured with a locked door,
separating it from any common areas.
Once the virtual onsite inspection is completed, Certn reviews the results to ensure
that your physical space meets the security standards required to issue Credit Report checks. If you have any further questions or require clarification, please do not hesitate to reach out to the Certn Support team.
